The Role:

We’re looking for a tech-savvy, highly organised, and resourceful Operations Executive Assistant to support leadership while keeping internal operations running smoothly. This role is a mix of executive support, project coordination, and process optimisation - perfect for someone who thrives on solving problems, streamlining workflows, and keeping things moving.

Key ResponsibilitiesAdministrative Support

  • Manage calendars for leadership and team members, coordinating meetings, events, and deadlines.
  • Oversee team inboxes and Slack channels to ensure timely communication and efficient task management.
  • Plan and execute team events and activities to foster collaboration and engagement.

Client Account Coordination

  • Prepare professional, visually engaging client reports and presentations.
  • Support the Account Management team by scheduling client meetings and ensuring deliverables are tracked and met.

Operational Efficiency

  • Collaborate with leadership to optimise workflows and implement new processes
  • Identify process improvements and assist in implementing new workflows.
  • Update and maintain company documentation, policies, and operational guidelines.

Project Coordination

  • Support the planning and execution of internal and client-facing projects, tracking progress and ensuring deadlines are met.

Skills & QualificationsRequired:

  • At least 1-3 years of experience in operations, administration, or a similar support role.
  • Advanced presentation skills with proficiency in tools such as Google Slides, Figma or Canva.
  • Excellent verbal and written communication skills.
  • Proficiency in tools like Google Workspace, Slack, and Notion.

Design & Marketing Knowledge:

  • Familiarity with marketing principles and tools such as Adobe, Canva, or Figma.
  • An understanding of branding, content creation, and digital marketing strategies.

Preferred:

  • Experience in digital marketing or SEO-focused environments.
  • Familiarity with CRM platforms such as HubSpot.
  • A proactive, creative mindset with the ability to manage multiple priorities.
